The Dispatch Board is the heart of Dispatch Manager Pro. At a glance you can view the entire days activity for each of your technicians. Each call can be color coded to indicate what type of call it is such as green for warranty, blue for maintenance or white for an installation. Pick your layout. Each of your employees that are involved in scheduling can define how the dispatch board will look at their workstation. Both the columns and the rows can be defined by the user in addition to what information is displayed for each dispatch ticket. The date scroll object feature is located in the top left corner of the dispatch board. It allows your operators to change the date that they are looking at anytime. Calls can easily be moved from one date to another or one technician to another.

What exactly does Dispatch Manager Pro do?
Dispatch Manager Pro will schedule and track service calls for any number of your technicians. It shows these calls color code on an easy to view dispatch board that can be brought up on any workstation in your office.

That sounds like my current 3x5 colored index card system. Is that right?
Yes it is. Dispatch Manager Pro is designed so that your telephone operators can take and schedule service calls while on the phone. Just like they are currently doing with those 3x5 color coded cards. It just that you don’t have all that paper.

Is it easy to move calls around on the dispatch board?
It’s as easy as Drag and Drop! Did I just say “Drag and Drop”? What does that mean? Those of you who are recording your calls on a 3x5 colored index card and using a safety pin to attach them to a cork dispatch board probably will not understand what I am referring to at the moment. Those of you who are using a computer to schedule your technicians probably wish that you had the ability to easily move calls around. Most computer systems provide for movement of calls but not like Dispatch Manager Pro! Using your mouse and the left button you can point to a call, pick it up with the left button and move it anywhere on the dispatch board. It’s simple, straight forward and as understandable as moving those 3x5 cards around on that cork board with a safety pin!

One problem that I have is locating customer information quickly. How do you address that problem?
Dispatch Manager handles that problem very well. It is designed so that your phone operators can quickly review all customer information such as equipment installed, maintenance contracts, warranty information and any previously performed service or installation work with the touch of a button.

That could be a big help!
Customers want to know that you know them. The cost of winning a new customer can exceed $10,000. Up-to-date customer information shared across departments is a big competitive advantage. Everyone that works for you and has access to a computer can easily view customer information such as service calls, site information, equipment installed, warranty data, billing, and much more. The person who answers the phone or takes a service call can sound like a pro that knows your hard won customer.

What types of businesses does Dispatch Manager fit?
Dispatch Manager is perfect for HVAC Contractors, Plumbers, Irrigation Companies, Electrical Service Contractors, Lawn Maintenance Companies and other similar service related businesses that supply services to home owners and commercial businesses.

What can I do with Dispatch Manager?
With Dispatch Manager you can examine your schedule for any day by simply typing in the date or by using the convenient date scrolling button. You can print out the days' activity at any time or select to print individual work orders for your technicians. Two very different entry screens are offered that allow you to record service dispatches and immediately schedule calls. One screen called Enter Daily Calls is designed for telephone operators to quickly take a service call. The Dispatch Board is designed to show the days activity as well as take and post service calls.

Can I ever lose a service call with this program?
Dispatches are tracked continually. Nothing is ever lost! At any time you can see a current list of all uncompleted dispatches. Once completed, dispatches are automatically made available for billing. Labor, material and other costs can be added to the completed dispatch at the time of billing.

What information is stored for each customer?
Complete customer information is available at any time. Including previously scanned work orders. Your office staff will be able to record customer specific equipment inventories, track information such as serial numbers, date of installation, warranty expiration dates, site location, description and many, many more variables with ease. As I mentioned before Up-to-date customer information shared across departments is a big competitive advantage. A business who knows the details about their hard won customers can not help but build loyal customers and greater revenue possibilities.

How much does it cost?
A better question would be “How much would it cost me if I don’t use Dispatch Manager Pro?” and the answer to that is a lot more that the $950.00 you are going to spend on this program today.

Can more than one person enter data?
This system is multi user. Any person who has a computer in your office can review the dispatch board or enter calls.

My office is filled with paper. Do you have a solution for that problem?
This system has the ability to scan and store paper documents that are related to or generated by a dispatch. Such documents can be the original work order for the dispatch, hand prepared notes taken at your clients location, maintenance contracts that are filled out on the spot, a copy of a drivers license or any other such document that is important to keep for your files.

Contact with my service technicians is spotty. Can you help me with that?
Of course we can! Dispatch Manager Pro can be set up to send and receive text messages to each of your technicians in the field! The message sent gives the customer’s name, phone number and location information in a single text message. No more missed calls or excuses. When the technician arrives at the customer’s location they simply reply to the call and the system can automatically record their arrival time in the dispatch record.

What about Maintenance Contracts?
This program provides you with a means to offer maintenance contracts and the ability to follow up with your existing customer base to create additional sales easily. This could be a significant amount of additional revenue from already existing customers. Revenue that is much easier to acquire than convincing a potential customer that you are the best choice among the six of the seven contractors that he is looking at.

How does it do this?
The Dispatch Manager program can address this issue directly by tracking all customer sales and maintaining an up to date database that will show warranty expiration dates, equipment installed by location, serial numbers of large items installed with model numbers and inspection dates, scheduled repair times and last visit logs.

What about warranty work?
You will be able to track and trace all bills and service calls, providing an easy way to determine if any recorded call is a warranty call. It can also report which installer or service/sales person has the most call backs. The Dispatch Manager program would have a very large impact on this aspect of your business by tracking these warranty calls and maintaining a usable history of service by model and manufacturer as well as customer. As I am sure you already know, many warranty calls are avoidable with better information and model number tracking.

Can I print out work orders?
After any call has been entered you can print a single work order or the entire days group of work orders. Many forms can be supported or you can design your own!

It sounds like Dispatch Manager stores a lot of customer information.
I know that many of you looking at this program have a computer system and that most if not all of your accounting and estimating functions may have already been addressed. But are your sales where you would like them to be? Are your customers satisfied with your service and response times? Is your service operation profitable? Can you even answer these questions? Without tracking your calls efficiently you can not begin to answer these questions and, if you are like all the other service contractors you compete with, how you respond in the field determines how much you are going to make and ultimately how profitable you will be. Dispatch Manager Pro can help with this problem by recording your calls efficiently, making sure that all calls are answered, provide for timely billing and ultimately measure performance.
